Fagerhult - a shining example of good onboarding

When Fagerhult decided to restructure and consolidate its management system into a new platform, they chose AM System with guided onboarding. Here, they share the value of streamlining processes, taking steps in the right order, and working with a clear focus.

Fagerhult is a renowned lighting company with a rich history. It all began in 1945 when entrepreneur Bertil Svensson set out to gift his mother a lamp. Today, around 600 people work at the factory outside Habo, spread across production, laboratories, development, and office functions.

Through thirteen sales companies around the world, Fagerhult provides architects and electrical installers with luminaires, comprehensive solutions, and custom designs tailored to their needs. As a private individual, you may encounter Fagerhult’s products in public spaces, such as hospitals, street lighting, and park illumination.

Evaluating different systems

Fagerhult and Ateljé Lyktan, both part of the Fagerhult Group, previously used a jointly developed, custom-built management system. The need to replace the existing system gained momentum in the fall of 2021. The companies evaluated several platforms, and ultimately, AM System was the chosen solution.

-It felt versatile and could replace several other systems we had, says Josefine Karlsson, Quality and Environmental Coordinator.

Guided onboarding

The collaboration with AM System began in February 2022, with a structured digital onboarding process that included alignment workshops, training, and follow-up assignments.

"The onboarding had a really great structure, with clear steps, deadlines, and check-ins"

- It covered everything from process mapping and navigation to user settings. The breaks between sessions were also beneficial—they allowed us to refine our work, and then get further guidance from the AM System team, Josefine explains.

Proud of the result

Throughout the onboarding process, Josefine and her manager, Nina Ström, led the project and drove it forward within the organization.

"One major advantage of AM System is that it is intuitive and easy to learn."

- We have held a total of four hours of internal training and today about 25 employees contribute to building the entire management system and around 250 people are users in different ways. In 6 months we were able to train representatives, sort out old routines, create new process maps and launch the new management system, which feels incredibly fast, says Josefine.

By creating a ready-made template for processes, Fagerhult has made it easier for their various process owners.
 

More visual for the employees

Today, Fagerhult has created and consolidated around 80% of its governing documentation in AM System’s document module. Only a few days of work remain before completion. However, since the management system is a living entity, it will continuously be improved and refined.

- Thanks to the document module, we have achieved a well-structured system. Documents are easy to create, collaborate on, update, and manage versions—something that used to be a challenge. We have also used layout documents to visualize our processes, making them much clearer for our users.

"Now, everyone can easily navigate through our processes and find what they need."

- In January, Fagerhult began the final phase of their onboarding journey—implementing AM System’s Case Management module.

The final stage of onboarding

In January, the final stage of onboarding began, with AM System's Case Module.

- This phase focuses on building case workflows and managing our cases more systematically and automatically. It will make us more efficient and save us from time-consuming internal email threads, says Josefine.

Reflecting on the onboarding process, Josefine highlights the structured approach, the defined project team, and the focused effort as key success factors.
